If we make material changes to this policy, we will notify you here that it has been updated, so that you are aware of what information we collect, how we use it, and under what circumstances, if any, we use and/or disclose it. 

What type of information do we collect?

We receive, collect and store any information you enter on our website or provide us in any other way. In addition, we collect the Internet protocol (IP) address used to connect your computer to the Internet; login; e-mail address; computer and connection information. We may use software tools to measure and collect session information, including page response times, length of visits to certain pages, page interaction information, and methods used to browse away from the page. We collect personally identifiable information (including name, email, password, communications); comments, feedback, bid submissions and audition applications. We also collect non-personally identifiable personal data such as your age, gender and interest category through Google advertising cookies and identifiers, as well as other non-identifiable information associated with your Google account. You can opt out of these cookies at any time here, and after you have done so we will not collect such information from you.

How do we collect information?

When you submit a funding application, audition application, contact form or sign-up application on our website, or any other means by which you provide us with information, as part of the process, we collect personal information you give us such as your name, email address and phone number, sometimes subject to terms and conditions (including related to data usage, storage and sharing) which we will always state clearly. Your personal information will only be used for the specific reasons stated in the section below.

Why do we collect this information?

We collect such Non-personal and Personal Information for the following purposes:

  1. To provide and operate our services;

  2. To provide our users with assistance and technical support;

  3. To be able to contact our visitors and users with general or personalised service-related notices;

  4. To create aggregated statistical data and other aggregated and/or inferred Non-personal Information, which we  may use to provide and improve our respective services; 

  5. To comply with any applicable laws and regulations.

How do we store, use, share and disclose your personal information?

Our website is hosted on the Wix.com platform. Wix.com provides us with the online platform that allows us to provide services to you. Your data may be stored through Wix.com’s data storage, databases and the general Wix.com applications. They store your data on secure servers behind a firewall. Data not stored through Wix.com will be held in a secure location, and will only be disclosed to others if this is necessary to fulfil our service to you, if we are required to disclose it by law, or if you have given us your prior consent to do so for any other reason. If the terms and conditions of a service you signed up for (including terms related to data usage, storage and sharing) change after you agreed to them, we will notify you and offer the option to opt out of the new terms and conditions whilst continuing to use the service.

If you have provided us with an email address in the format firstname.surname@college.ox.ac.uk when signing up to the OUDS Newsletter, we will communicate this email address to Oxford SU in order to sign you up as an OUDS Member. We will not transfer email addresses that do not correspond to the format displayed above.

As part of our analytics and traffic-monitoring processes, we share certain information about your use of this website with Google. All information held by Google is stored in a secure location behind a firewall.

How do we communicate with you?

We may contact you to notify you regarding information you have provided us with, to resolve a dispute, to let you know the outcome of a funding or audition application or to update you on the progress of such an application, to collect fees or monies owed, to poll your opinions through surveys or questionnaires, to send updates about OUDS, to notify you of changes in terms and conditions, or as otherwise necessary to contact you to enforce applicable national laws, and any agreement we may have with you. For these purposes we may contact you via email, telephone and text messages or approach you in person.

How can I withdraw my consent?

If you don’t want us to process or hold your data any more, or if you'd like to see what data we hold about you, please contact the secretary. In the case of data provided to us by Google, this data may be accessed and/or deleted via My Activity.
